Time Is Precious – Voice Messages
One of my pet peeves is having to listen to a voice message more than once because I couldn’t catch the whole return phone number. In nearly every instance, this is either because the numbers were recited too quickly and/or weren’t repeated. (Poor phone reception or line noise also may make the situation even worse, and may require listening to a message more twice to get it right.) Fortunately this is easily remedied with an “organized” message like the following:
First, say your name and recite your phone number in a 3-4 cadance, with a pause after the first three digits.
Next, state your message: e.g., what’s the reason for your call? what do you want the other person to do? what’s the time frame?
Finally, repeat your phone number and sign off.
Example: “Hi, this is Jen Ulrich of Answers To Organizing, at 975 [pause] 9240. We met on Monday at [networking event], and I’m calling to schedule an appointment with you as you requested. You can reach me at 975 [pause] 9240. I look forward to talking with you. Good bye.”
It’s the pause in the middle of the phone number and repeating the number at the end of your message that make all the difference in saving time and frustration. It’s also a good way to model telephone etiquette for others.
